Finding Students

We are building a strong incentive for students to "build a reputation" on Tethys Engineering as the information shared is the primary mean by which businesses will look for and select the perfect candidate, short term and long term.

Business participants can search this information by selecting "My Tethys/Students/Search student reputation"

This "reputation" framework  fundamentally achieves two objectives,

  1. creates an appealing and detailed view of one's capabilities in order to attract the interest of various businesses,
  2. collects feedback from various projects and skills developed along the way

Overtime this collection of information will enrich someone's profile and be extremely valuable to business seeking ideal candidates. Until then, the businesses might use the basic searching capabilities of Tethys Engineering and review student's basic profile info.

Eventually, the "reputation building tool and apprenticeship diary" will provide a level of insight on engineering candidates that will go far beyond what can be captured on a resume. It will also provide authenticity as the information collected is not someone 's own opinion of him/herself but the feedback of the businesses you have worked with.

There are three key components to building a reputation on Tethys Engineering. Two of those components will be "reviewable" by the business professionals a student has worked with.

  1. Experiences: This component is intended to capture the fundamental job experience a student has gained over time. It defines the work environment (i.e., industry, company, segment), the role played, and the results/outputs delivered.
  2. Know-how: This component captures the skills and expertise acquired as one accumulates experiences. This could include tools, software, processes, ... learned and mastered. It essentially defines the level of proficiency developed in certain areas important to employers.
  3. Achievements: This last component captures the formal recognitions received. We have defined two different kinds: academic and professional. The academic recognitions naturally include the degrees obtained and all other formal accreditation received from various learning institutions. The professional recognitions are the formal badges of honor, certificates, or any other form of professional accreditation received from an employer or the employer internal learning programs.

The first two components described above are subject to reviews. It is important that business professional take the time to provide feedback and provide formal reviews at the end of a certain effort realized.

This information is captured on "cards" that are shown on every student's profile under the heading "My listing". It is also searchable across all profiles. Every field available in the database can be used to refine filters and narrow down the result to very few candidates.

Posting an Internship

Once a business creates a profile and preferably establishes relationship with a small group of students through the "Group" functionality offered by Tethys Engineering, it will naturally make sense at some point to formalize its internship needs. The process is very simple and offers a mechanism to advertise to the broader community of student on Tethys the work that needs to get done. 

An internship entry can be created by selecting the menu "My Tethys/Internships/My Internships/New submission". This will bring up a page where all information required to add a new internship in the Tethys database can be provided.

Once an internship entry is made, it will automatically show in several place:

- the list of all internships at "My Tethys/Internships/Search Internships"

- the business' own internships at "My Tethys/Internships/My Internships"

They will also be visible on the profile page of the owner of the listing.

​The internships available for a business are also made visible on the business' profile page. This gives the opportunity for students to have all information needed about a business in a single place. The list of internships is available on the upper left column of the page right below the cover image.

There are two main menu items that will provide you ways to modify your profile. The first one is on the upper right corner of your main profile page. When clicking the "gear like setting" you will be able to select multiple options to change the overall look and feel as well as the preference of your profile. Note that this includes email notifications and privacy settings. As a first step, you may want to change your picture (Avatar) and make it personal. Show who you are and remember this is a professional network... you can also change the cover picture of your profile and give you the opportunity to make a statement. Make sure the size of the picture you select fits the space provided otherwise it risks to hide some menu items which will make it impossible for your and others to navigate around your profile (the image size should be 1200x450).

As mentioned previously the second menu item you can use to modify your profile is "Profile" in the second menu bar next to the "Home symbol". There you will be able to essentially change or adjust everything that is changeable. Note that it is important that you look at your preferences and privacy setting. These will define what others can see and how you will be notified of changes that take place in your network.

The several important functions to be aware of in order to fully utilize the capabilities of the platform:

  1. ​Receiving an inquiry: The internship owner will receive notification and private message from users that are sending inquiries about the listing. This can be done from the internship detailed page by selecting the "Inquiry" button in the right upper corner
  2. Changing the status of an internships: Once the needs for the interns are fulfilled or the various projects are completed, it is important for the listing owner to change the status of the "internship" from "Active" to "Complete". A third option is also given to place the internship "On hold".
  3. Getting an internship reviewed and rated: We want the feedback offered on Tethys Engineering to go both ways, from the business to the student and vice versa. For that purpose, each listing can be reviewed by participating students and a rating can be provided for the internship experience. Obtaining 5 stars rating from students will make the business and the internships offered more attractive to the best talent in the community.

Building a Business Presence on Tethys Engineering

Tethys Engineering provides as rich set of features to allow you to create your own community, very much like most social networks. This said, the essential objective is for a business to build "private" groups to select and invite "virtual interns".

It is one of the key mechanism through which some level of intimacy can develop between a business, professionals in that business, and a group of students interested to work on real-life projects.

A business can create as many groups as needed. They can reflect different interest areas, activities, type of projects, etc. Inside those groups, information can be shared with a great level of control. It offer the opportunity to share files and documents in addition to the videos, pictures and text feeds available across the rest of the web site

The following step by step instruction will provide more details.

Once you have reach the end of the registration process, you will be able to log in back into Tethys Engineering by selecting the menu pick "My Tethys" or "Sign in". There on your profile page or on the community home page you will be able to select "Groups" on the menu bar and create your on group. This will give you the opportunity to create a semi-private or private space for your to communicate with members of your business and with students. You will also be able to define how other users can participate.

There is not limit to the number of group you can create. The functionality is there to create an intimate relationship with a group of students on a specific topic.

The group you create can have a special avatar and special cover picture to distinguish itself in the community. Each group as a dedicated wall that captures the activities of group participants. 

In addition, groups have also the ability to post and manage their own announcements, discussions and events. Discussions and announcements can also be repository of documents that you upload increasingly dramatically the ability to share information with participants. Note that access to those documents follow the privacy settings you have setup for the group.

Building a Business Profile

Providing the required contact information and saying something about the business is essential. You should also change the profile picture (avatar) and the background image that will appear on the profile page to personalize your presence in Tethys and attract the attention of users. From there, build up your participation just like you would on any other social network. You can add feeds to your wall, share pictures, videos, etc

The following step by step instruction will provide more details.

Business registration

Tethys Engineering offers a comprehensive community environment in which each participant (i.e., students, businesses, professionals, and coaches) can register, build a profile, start developing relationships, and get work done.
Registering a business is straight forward and only requires a few minutes to complete. New participants should select the "Register" menu pick to initiate the process. Alternatively, if you have received an email invitation from an existing member, a link will directly take you to the appropriate place.
There are a few easy steps to follow to ensure that you have properly created your account including reaching the "Check out" screen at the end. Although there is no cost to join at this point in time, completing the check out process is required to create a user account.

There are two key elements for businesses to participate:

  1. Register the business is required before any form of transaction with a student can take place
  2. Register various employees/leaders of the business. These participants need to register as "Professionals" and have access to the entire set of feature we offer to build relationships wit students.

In addition, registering a business has a few additional critical elements to watch for:

  1. The information for the key contact (i.e., name, email address, etc) will be use in the backend system to create the primary owner of the account and the first user of the project and collaboration space that will be created. This user will also receive the notification sent by Tethys Engineering which will include the payment transaction information with the various students. t is recommended to use an contact and related email address that could play this administrative role over time.
  2. Basic Company details including Business Name will be using amongst Tethys community to present your business

Below are addition information about the steps of the process

As a business you have free access to Tethys Engineering for now. At a later stage we will be adding a number of different subscriptions that will provide access to premium content.

As mentioned before, a business needs to be registered as a "user" of the system so that an account can be created in the back-end and allow transactions to take place.

In addition, a business can have as many "Professional" users join and participate to build relationships with students.

New user need to proceed to Register to subscribe to this plan.

This may look like an un-needed step but it is required to set you up in our database correctly. At a later stage, we will add various subscriptions to chose from including some payable that will include learning packages or access to special software.

The key contact information will be used in the back-end system to create an owner for the business account. This is the email that will be used for notifications sent to the "Business" as well as all transaction information that will take place between the business and the various students. This owner of the account will also be the first user setup with the Tethys Engineering project space and will have the option to invite other users from the business. These additional users can be setup as manager which will give them also the opportunity to create and manage projects.

Tethys Engineering is designed to help business find students to get work done. Take the time to fill in the "Description" field of your profile to provide information about the business.

You have to re-enter your Name here as Key contact person for your Business

Although much of this information is mandatory to register, you have the option to select who will be able to see it. The icons on the right of every one of those screens will give you the ability to select the right option. If you choose "only me", you and the administrator of Tethys Engineering will be the only ones able to see that field.

This is the last step and a very important part of the registration process. We must have access to your student information to ensure that you are a qualified students. You will also need to make some of this information available or visible to the businesses that will want to contract with you for "virtual internships"

​Before reaching the check out screen you will have the opportunity to upload an image/logo to identify your business. You can also skip that step and do it later.

The Checkout screen summarise the subscription, as mentioned, it can been seen as necessary step but you have to click on checkout button to finalise the registration

Your account will be active once verified. For that, you will receive an email verification that will bring you back to Tethys Engineering and allow you to log in. Check you spam folder in your email program if you have not received an email within a couple of hours. Some corporate firewall may prevent Tethys Engineering to close the process, if you have not received an email verification at all, try going back through the process on a public web connection. Your business is now register on Tethys Engineering and you can ask colleagues to register using the Professional subscription plan.

Building a Reputation - The Apprenticeship Diary

Building a reputation is an essential part of a student's participating to Tethys Engineering. It has two fundamental objectives, 

  1. the first is to create an appealing and detailed view of one's capabilities in order to attract the interest of various businesses, 
  2. the second is to collect feedback from various projects and skills developed along the way 

Overtime this collection of information will enrich someone's profile and be extremely valuable to seek full time employment after graduation. It will provide a level of insight on engineering candidates that will go way beyond what can be capture on a resume. It will also provide authenticity as the information collected is not someone 's own opinion of him/herself but the feedback of the businesses you have worked with. 

We called all this the student's apprenticeship diary, a tool that will be much more powerful than a resume upon graduation.

The practical steps to the creation of your reputation is to add "cards" to your "listing". Each "card" can be one of the three components listed above. Once created they will appear in searchable database for others to discover. These will also appear in your profile (left column) as part of "My Listings" which will show the collection of "cards" you have created. This will be the most important part of what employers will look at when reviewing your profile either to work with you on internships or to eventually hire you.

​To create a new submission which will add a reputation "card" to your "listing" navigate to the "My Tethys/My Reputation/New Submission" menu pick. At this stage you need to select what type of "component" the "card" will carry. You can choose from one of the three options discussed in this section of Tethys Engineering's quick tutorial

​Each of the three components of your reputation requires certain information to be provided. The field on the card you will create will be clearly marked if they are mandatory. An small blue icon with the letter "i" is available in certain places to provide additional instructions on how to fill certain fields. It is in your best interest to be detailed yet precise when building each card as they will be the primary reading material available to potential employers.

This where it all comes together. Once you have gone through a series of reputation card submissions, you will be able to see them accumulate on your profile page. It is important to make those look as interesting and attractive as possible to enrich your profile. Other participants to Tethys Engineering will have the opportunity to get to know you better by reviewing the information provided under the tab named "My listing" on your profile page.

As discussed before, reputation "cards" are entries in Tethys Engineering's database and can be searched using every field available. To search the entire database to find other students with similar skills, or to learn about what others have done, you can navigate to the "My Tethys/Search Student Reputation" menu item and have access to the entire listing. By clicking on the "Advanced Search" button you can access a form that will let you enter a specific search criteria for each field.

Accessing Engineering Software

Tethys Engineering recognizes that unless a student has access to a commercial license of an engineering software (e.g., CAD, FEA, rendering, CAM) it is essentially impossible to be paid for any service rendered. 

Internships solve that problem by bringing students on customer sites and having them use commercial licenses available. Tethys Engineering addresses that problem by giving students access to commercial licenses of various software as long as the student is a registered and active member of the Tethys Engineering community. 

The initial set of software applications available to students include:

  • Market leading CAD/CAM application package
  • Market leading FEA applications
  • New cutting edge modeling and simulation software
  • Online collaboration environment
  • Cloud-based engineering data and project management platform 

We will be working hard to streamline the access to those applications and to expand the portfolio available in order to give more learning and work opportunities to students. During the early phases of Tethys Engineering's existence, access to those applications may require some administrative overhead, both on the part of the student and our internal operating team. These processes will become highly automated as we continue to build and refine the operating platform of Tethys Engineering.

Working on Projects

Tethys Engineering offers the on-line features needed between businesses and students to manage projects. With the right subscription users are allowed to create and manage projects with various community participants. At Tethys Engineering we have currently integrated the project collaboration capabilities of Smartsheet to our platform and our offering. Other solutions will be available in the future. Our goal is to offer the Tethys Engineering community a set of state-of-the-art tools to foster collaboration. You can find a lot of information about Smartsheet on www.smartsheet.com.

The key functionalities are:

  • Collaborative Project Management – Smartsheet online project management software provides users a flexible solution that offers visibility across people, projects, and deliverables. It is the central location where project managers can view their team's availability, check and plan for deliverable timelines and upload and share related documents. Users can easily see who is busy and who is not to help them make decisions. They can quickly switch to an interactive Gantt chart view to visualize the project, update plans and act on schedules and deadlines. A calendar view is also available. Users also can easily attach files from local computers or online drives such as Google Drive, Box, Dropbox, and Evernote. They can add discussions and notes on any row to keep information in context. 
  • Familiar Spreadsheet Layout – This project management and collaboration software uses an intuitive spreadsheet-like interface that is instantly familiar and allows everyone to get started in minutes. No steep learning curve, thick manuals or countless tutorials to get through before users can enter data on rows, add columns or change the layout of their sheet. Getting started is easy, whether from a blank sheet, importing data from existing MS Excel, Project or Google spreadsheet files, or use one of many templates to jumpstart work. In case users need more information how to use the software, they can go to the Help Center, choose to show tips, play Help videos or talk to a customer support. 
  • Complete, Flexible Solution – Smartsheet goes beyond task and project management. Other features include automated alerts and email reminders, integration with calendar software such as iCal or Google calendar and Google apps, and compatibility with mobile devices such as iPhone, iPad and Android devices. Aside from spreadsheets, it also has web forms, cell linking between tasks and projects with a single cell or a range of cells, and customizable reports that can be exported to PDF or Excel. It works with many other apps through API, has Admin tools for better security, control and custom configuration as well as an enterprise platform for special requirements. Card View – visual learners benefit from Smartsheet's Card View feature as it provides a different way of looking at the workflow on a project, in comparison to the standard grid view.

Users with appropriate subscription have automatic access to our project and collaboration space by selecting "My Tehtys/My Projects" menu pick. This will load a page that embeds the Smartsheet environment and provide al its features (in the future, other project management environment might be available).The upper left icon of the project space provides a link to the account details that was created for each eligible Tethys community participant. As 'manager' of your environment you can create and share workspace with any participants. The upper left part of the menu bar helps navigate to the home page or to the project list the user has access to as shown on the image copied here. Selecting one of the project listed takes the user to the specific project space where collaboration takes place.

The project management environment provides comprehensive capabilities to develop details project plans, associate tasks to users, and communicate in various ways. The system offers also various reports and presentation views to get a sense of progress across multiple work streams, users involvement, time commitments and many other critical aspects of project management.

An important part of project management with independent contractors is to track the progress on activities and the time associated with it. Our project environment provides a very detailed way to monitor those activities and to assess the productivity of various participants. The time sheets created by users feed several reporting views allowing the project manager to monitor time spent on various tasks and across the entire project.

The project collaboration space provides also mechanisms to share documents of various types. Documents can be attached to various part of a project associating files with specific activities. Documents can also be uploaded in a folder structure shared across all project participants. At the bottom of the document page users can select the "Dropbox" icon to synchronize various parts of the document folder structure with the dropbox folder on their computer. The document management system offers a robust, secure and role-based mechanism to share documents. The system provides check-out/check-in capability to avoid version conflict and also capture all document modification history for future audit. In addition, text document, spreadsheet and presentations can be edited online, a robust markup system is also available as well as the ability to manager comments/discussions on specific documents.

The project and collaboration environment allows to manage student users and client users separately. The administrative rights for a project start with the project creator, from there multiple roles are available to add participants each with a specific set of permissions. A primary client user is always associated with a client specific project and determined by the way the account what setup when the business primary contact registered the business in Tethys Engineering.

​Participating to a project space requires an invitation. Only businesses properly registered to Tethys Engineering have the ability to invite students to project spaces. Each project space is manage by a registered participant of the business that owns the workplace.

Working as a "Virtual Intern"

Tethys Engineering provides a rich set of features to allow you to create your own community, very much like most social networks. This said, the essential objective is for you to get invited to work on a project. An initial step in that process would be to get invited to a "private" group created by a participating business in order to develop a relationship. This is where you will need to learn to 

  1. market yourself, 
  2. be active, 
  3. reach out to participants, 
  4. create rich and interesting content on your wall, 
  5. and invest in building your reputation.

It is also expected that students will form "private groups" to organize themselves around topics of interest and specializations that they would want to promote to various businesses. Those same private groups could be formed by a group of students interested at promoting their services to a specific business, either way "Groups" present a powerful mechanism to organize the beginning of a possible internship. 

The ultimate goal though is for the business to hire you. To facilitate that Tethys Engineering allows every participant to list the services (and products) he/she wants to sell. It is setup in your own individual store and offers each participant a simple way to transact with businesses, keep track of it and get paid. The following step-by-step instruction will guide a participant in setting up a store, defining services (or products) and explain the mechanisms by which a business will purchase the services offered.

Once logged in, select "My Tethys/My Offering Dashboard" menu pick, this will take you to a very important place where you can have a summarize view of what you have accomplished financially on Tethys Engineering. The dashboard is also the place where you can create a "store", define you "Products" (in this case mostly services) but it can also give you a summary view of what customers have bought from you and what has been the overall earnings you have accumulated. From here,  create a "store" and then create a "product". Select the "Stores/My Stores" menu pick from the dashboard toolbar at the top of the page to get started. 

Your list of stores should be empty at first hence you need to click on the "New" button to get to the screen shown here on the left. 

As a participant you are allow to create only one store so this process will never have to be repeated. 

The store title should preferably identify you so it will be easier for businesses to pick it from a list. Although the content of you store will be on your profile page, there will be other ways for businesses to get to your store by pickling from a list. 

Your address and contact information is important, perhaps a little redundant with the profile info but this is the information that will be used if we need to send you checks. At his point we required every student to setup a Paypal account and to provide the information for it here as this is the primary form of payment we are using.

Creating an offering is very easy. Select "Product/Add product" from the Offering/store Dashboard. The form that needs to be filled includes the following three categories. The first one is the most essential, the remaining two allows to create more complex offerings. 

The Basic information should be filled in its entirety including the selection of an image to depict the entry in the catalogue. Maintain the size of the image small as it will never be shown in size bigger than 128/128 pixels. 

One critical information is the price for your service. To help you defining the right price, you will find a pricing tool on your My Profile page. This tool will help you to compute a price taking into account the eventual licence costs associated to your offer (e.g. if you are offering Solidworks services)

The attribute information will allow the participants to add features/attributes to a product or services. This will serve its purpose if the customer has special requirements, for example to expedite the work, work evenings and weekends, etc. 

The digital media attributes offer the opportunity to sell end-products to customer captured in various files or documents. Once created, the entry will be reviewed by an administrator to ensure it can be posted on the website.

The most important thing right now is to have customers/businesses interested in what you have to offer and selecting from your "store" the service you can provide. They have two places to do this. The first is the general offerings page that can be accessed via the "My Tethys/Search Offerings" menu pick which essentially gives access to everything that is available across Tethys Engineering. The visitor can navigate by category, by store and review the various offerings listed. The second place is actually on your profile page where your offering will show on the left side of the page below your reputation tabs

We have made a special effort to integrate the store, products and ultimately selling functionality of Tethys Engineering with the profile of the participants. This give another path for businesses/customers to decide who they would like to work with and what services they are expecting The profile page of each participant display on the upper left side the various "reputation" items made available for the customer to decide, and just below that we have provided direct access to the services and products that participants is offering.

​Following those instruction should get you to a stage where you can do business with any participating customer. The key now is obviously to get noticed, to pursue customer opportunities and to be selected for specific projects.

Tethys Engineering offers a comprehensive community environment in which each participant (i.e., students, businesses, professionals, and coaches) can register, build a profile, start developing relationships, and get work done.
Registering is straight forward and only requires a few minutes to complete. New participants should select the "Register" menu pick to initiate the process. Alternatively, if you have received an email invitation from an existing member, a link will directly take you to the appropriate place.
There are a few easy steps to follow to ensure that you have properly created your account including reaching the "Check out" screen at the end. Although there is no cost to join at this point in time, completing the check out process is required to create a user account.

Below are addition information about the steps of the process

As a student you have free access to Tethys Engineering. This first step will help you create a profile in the student category. Select the "view plan" button on the "Student" tile and get started with registration

This may look like an un-needed step but it is required to set you up in our database correctly. At a later stage, we will add various subscriptions to chose from including some payable that will include learning packages or access to special software.

At this point, we want you to provide the basic information to create a record of your participation in our database and keep in touch with you. You are asked to create a username. The system will verify if that username is already in use and ask you to try something different until it finds a way to uniquely identify you.Your email address should be on the mail server of the institution in which you are enrolled as a student. This will serve as one of the multiple mechanisms we need to have in place to ensure that you are a qualifying student.

Tethys Engineering is designed to help you further your development and start developing relationships with future employers. Take the time to fill in the "About me" section of your profile...you can start here and get back to it later to edit it...but remember that the objective is to be noticed, in a professional sense. Although much of this information is mandatory to register, you have the option to select who will be able to see it. The icons on the right of every one of those screens will give you the ability to select the right option. If you choose "only me", you and the administrator of Tethys Engineering will be the only ones able to see that field.

This is the last step and a very important part of the registration process. We must have access to your student information to ensure that you are a qualified students. You will also need to make some of this information available or visible to the businesses that will want to contract with you for "virtual internships"

After you have gone through the five steps shown above, the system will take you to a check-out page. Simply click the check-out button and the process is complete. Your account will be active once verified. For that, you will receive an email verification that will bring you back to Tethys Engineering and allow you to log in. Check you spam folder in your email program if you have not received an email within a couple of hours. Some corporate firewall may prevent Tethys Engineering to close the process, if you have not received an email verification at all, try going back through the process on a public web connection. Registering and creating a business profile

Although the registration shouldn't take more than a couple of minutes, including getting the verification email to active the account, it is recommended to spend a little time logging in and using some of the key feature to make the business' presence in Tethys Engineering known. The minimum is probably to upload an attractive cover picture and an icon as avatar so that it is easier for students to spot the business. Adding a few messages on the profile page of the business would help too and creating a couple of groups to get ready for inviting students into more private spaces should take a total of 10-15 min maximum

Posting internships and looking for students

We offer the possibility for businesses to post an entry describing the type of internships (or type of projects) proposed. These can then be reviewed by students and those interested can reach out to the business suggesting their participations. Multiple entries can be created for each business and those entries can be reviewed by the students that have participated further helping to spread the word and make these visible to the broad community. On the other end, a business user can search the members directory and the student reputation repository to find the right profile. From there an invitation to a private group can be sent to as many students as needed and those relationships can start to flourish

Launching a project and getting students booked

Each registered business has automatically access to our feature-rich project execution space, invite students and get started with work. The only prerequisite is to book the time of each student. It is a very simple process that can be initiated on the profile page of the student  or in the "offering" section of the web site under "My Tethys". Once the student and the service needed is selected, the check out process takes the user to a "shopping cart" which offers a 3 steps process to capture the information needed for payment. It is up to the business and the student to agree on the increment of hours that should be booked. Payment can be expedited with Paypal or Credit cards and work can get started.
